The Human Resource (HR) and Administrative (HR&A) department’s purpose is to supervise staff through; planning, organizing, implementing administrative systems and align HR initiatives with the Union’s strategic organizational goals. The head of this department leads, directs and manages the day-to-day human resources and administrative activities of the Union. The HR&A Manager provide oversight and guidance to the development and monitoring of processes related to recruitment and retention, compensation, benefits, training and development; as well as oversee administrative functions. The head of HR&A therefore leads a highly organized multi-tasking staff and also be comfortable managing others by providing feedbacks, motivating the administrative support team and handling office conflicts. The communications unit of the Union is subsumed under the HR&A department. The aforementioned functions goes hand-in-hand with assisting the Executive Director, managing and supporting the entire staff through the provision of high quality and sustainable administrative support and personnel management in the daily administration of the Union to ensure smooth running and an implementing policies and delivering on strategic objectives.
The department coordinate and keep records of the daily financial transactions of the Union. The finance department coordinates and keep records of the daily financial transactions of the company. The coordination and record keeping function include ensuring that proper books of account are kept; reviewing and preparing budgets and performing quarterly budget variance reviews and management of fixed assets.
Also, the department, headed by the Finance Manager, is responsible for communicating the financial and operational affairs of the Union with the Executive Secretary and Management, the NEC, the AGM and other stakeholders. The above function is preceded by enduring security and internal controls such as guarding all the Union’s records, including computerized data from unauthorized people by employing appropriate internal controls.
Liaise with Union’s bankers, insurers, Ghana Revenue Authority and SSNIT on behalf of the Union.
The Certification Risk Department is headed by Compliance Supervisor/IMS Manager in-charge of Risk. The department is responsible for identifying bottlenecks for system efficiency and remove them where necessary. The department seeks to prevent system inefficiency, manage resource demand and ensure that there is availability in constantly monitor logistics and safeguard balance when disproportional, with the aim to ensure or restore system efficiency.

The department is in response to the growing concern in the cocoa sector regarding the use of child labour in supply chains.
Kuapa Kokoo has broadened its focus recently from children to the treatment of hired labour more generally across it operational areas. The department is tasked to create awareness and sensitize farmers on all forms of child labour i.e. permissible and worst forms that are inimical to the development of children. After the awareness creation and sensitization, proactive measures are put in place such as the formation of Community Child Protection Committees to prevent children from being engaged in child labour and its worst form. However, remediation measures are activated to withdraw and protect children.
Additionally, a decision was taken at an AGM to introduce a formal, written agreement between landowners and tenant farmers that commits both parties to meeting certain standards of practice and behaviour whilst simultaneously protecting their rights. This established a system to monitor implementation of and compliance with these agreements across Kuapa’s operational areas. Ultimately, this has helped to inform the development of a more comprehensive labour policy and system for Kuapa Kokoo to safeguard workers’ rights and mitigate risks to the organization.
The Kuapa Kokoo gender programme was instituted to help achieve the second main objective of the Union i.e. ‘To enhance the participation of women in the decision-making process at all levels of operation and organization’. The gender programme is run by the unit, which is located at the head office, with the Gender Coordinator as the head, and assisted by Gender Officers.
Kuapa Kokoo Gender Unit sees to the mainstreaming of gender issues into the plans and programmes of Kuapa Kokoo Farmers' Union and the empowerment of women and girls through advocacy, additional livelihood projects, leadership training, adult literacy and micro-credit schemes.
The gender programme is mainly run through women groups. The groups are organised at the community / zonal levels. There are also farmer representatives at the Society levels called Society Gender committees. These committees oversee the gender activities in the communities within their respective societies and then report to the staff of the Gender Unit at the head office. The staff at the gender department work through the society gender committees in the implementation of the gender activities.
The entire gender programme centres on four main activities: Advocacy and empowerment, additional livelihood support skills and adult literacy
The Environment and Extension Department is headed by Compliance Supervisor/IMS Manager in-charge of Environment and Extension.
The department is responsible for training farmers on environmental protection to adapt to the effects of climate change. The department also ensure that farmers comply with health and safety standards by organising Trainer of trainers (TOT) workshops for staff and lead farmers on occupational health and safety practices.
